Job Description

Canadian Actors' Equity Association represents professional artists including performers (actors, singers, dancers), directors, choreographers, fight directors and stage managers, engaged in theatre, opera and dance in English Canada.. 
 
This national Association provides support to the 6,000 members across the country.  The national office in Toronto is seeking an
 
Administrative Assistant (Contract Position)
 
Responsibilities:
  • Provide direct administrative services to the staff
  • Distribute and file of correspondence, documents and contracts and maintain such files daily
  • Process outgoing mail and faxes, deliver same to the post office or mail box as required and prepare and dispatch parcels
  • Ttaking and transcribing of meeting minutes, handling board package delivery, Ggenerate the basic membership reports as directed
  • Print and assemble membership and engager support materials and track associated costs, as directed
  • On-site meeting support
  • Track concessions and complaints
  • Monitor and track postage machine activity
  • Provide relief reception as required
  • Other secretarial and/or clerical duties and data collection projects as may be required
 
 

Requirements:

Qualifications:
  • Post secondary education
  • Administrative Assistant or similar experience (minimum three years)
  • Strong computer skills, with competency in using intermediate/advanced features of Microsoft Office (Word, Excel, Outlook) and the Internet and work on a data base
  • Flexibility and strong internal member service attitude in a dynamic environment
  • Collegial interpersonal skills, willing to help out when required
  • Demonstrated organizational skills
  • Effective written and verbal communication skills
  • Superior telephone manner
  • Ability to focus on tasks in sequence and meet tight deadlines
  • Flexibility, ability to adapt to change and shifting priorities
  • Demonstrated attention to detail and accuracy
  • Must be discrete in handling confidential matters
  • Ability to work effectively in sometime contentious interactions and diffuse potentially volatile situations
  • Ability to work independently and effectively with minimal supervision


Additional Info:

You must have a minimum of three years experience in the work place.  Preference will be given to those with background in theatre, dance and/or opera, the arts and/or labour.  
 
This is a contract position as a maternity leave replacement for twelve months, the first three months of the term being probationary.  The salary is in $50K range.  The starting date will be as soon as possible.
