Job Description

The Program Coordinator will support the activities of the executive team and specifically aid the Director of Programming with the day-to-day planning, scheduling, operations and analysis of the Theatre's programming and event offerings.

Theatre Programming
  • Report directly to Director of Programming
  • Conduct programming, community outreach, historic and event research
  • Maintain content and competitor tracking documents
  • Edit event copy as required
  • Schedule and update events in planning software
  • Create programming reports and presentations as required
  • Respond to general programming inquiries in person, by phone and email; review and record in-theatre comment cards
  • Liaise with theatre operations (GM, Technician, Box Office, Communications) and associated restaurant and bar to ensure event details are clearly communicated to the wider team
  • Develop and nurture relationships with a wide variety of stakeholders including programming partners, collaborators and consultants
  • Be available some evenings and weekends to be represent Paradise Theatre as an on-site contact
  • Be an internal point person and provide training to any new Programming team members, interns and consultants 
Theatre Administration
  • Provide general administrative and coordination support to the Programming and Communication teams
  • Create, update and audit content, contact and event records in database
  • Coordinate content delivery and returns, ensuring the smooth and timely movement of all necessary materials
  • Work closely with the Communications team to aid in outreach and event promotions
  • Track payments and liaise with bookkeeper
  • Liaise with regulatory bodies to assess and obtain event-specific permits
  • Produce and manage the distribution and return of event contracts


Requirements:

Experience
  • 2-3 years of administrative and coordinating experience in the music, performance arts, festival and/or special events sectors
  • Proficient in coordinating cultural projects and events
  • Experience with using a CRM system
  • Management of multiple projects and deadlines
  • Adept with creating and running timely reports
  • Skillful in editing copy
  • Degree in arts administration or equivalent preferred
