TIFF, a vibrant not-for-profit arts organization, is hiring for the position of:

SENIOR COORDINATOR, FILM OFFICE – Lead Candidate Identified

Reporting to the Manager, Film Office, the Senior Coordinator will ensure that all films and guests invited to year-round festivals including Canada’s Top Ten, Next Wave, TIFF Kids and the Festival, experience exceptional service. The Senior Coordinator will liaise with films to gather content and materials and to coordinate any guest travel required. The Senior Coordinator will also play an integral role in training and managing the seasonal Film Coordinators leading up to TIFF in September.

RESPONSIBILITIES:

  • Provide exceptional service to filmmakers, programmers and invited guests, reducing touch points and ensuring a positive experience from invitation to arrival
  • Conduct content and materials collection for year-round festival films, tracking and following-up on outstanding pieces
  • Coordinate the dissemination of required materials from invited films to internal stakeholders as they are available and help to organize them as required
  • Proof film details in the official printed and digital publications for year-round festivals
  • Work with the specific TIFF programming teams to establish hotel and travel offers for invited guests. Create official invitation templates and execute guest invitations
  • Act as the main point of contact for all year-round festival guests - coordinating accommodation, travel, ground transportation and accreditation
  • Act as Netsuite administrator for Film Office department
  • Create a detailed itinerary for each year-round festival guest
  • Track & enter all guest budget information and travel details in Artifax and provide consistent/accurate reporting to internal TIFF departments when required
  • Maintain the confidentiality of guest information and integrity of TIFF’s programming
  • Liaise with year-round festival guests leading up to their arrival, providing timely answers to inquiries and relaying information from various TIFF departments
  • Act as main point of contact for guests when they arrive in Toronto. Meet and greet guests prior to their screenings and connect them with the appropriate programming representative
  • Assist with reconciliation at the end of each year-round festival and TIFF to ensure hotel partners’ accounts have been settled and that all invited guests have been reimbursed for their travel/accommodation.
  • Provide post mortem feedback for each year-round festival
  • Assist in managing seasonal Film Coordination staff, including involvement in hiring process
  • Support Manager, Film Office with other responsibilities as required


Requirements:

MINIMUM REQUIREMENTS:

  • Must have festival or event management experience
  • Must have experience in booking accommodations, travel and ground transportation
  • Must have experience in customer service and working with VIP guests
  • Knowledge of financial software an asset, specifically NetSuite
  • Excellent verbal and written communication skills
  • Dynamic and outgoing personality
  • Ability to both take and give direction effectively
  • Professional manner and ‘can do’ attitude with the ability to think on your feet and adapt quickly to changes
  • Strong organizational skills and excellent attention to details, budgets, timelines and objectives
  • Strong computer skills a must (Internet research skills, Microsoft Office, Google Docs, Artifax)
  • Enjoys fast paced working environment
  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
  • Able to handle emergencies and difficult situations with aplomb and grace
  • Must be adaptable to a flexible work schedule including some evenings & weekends to meet deadlines
  • Additional language(s) spoken an asset
