Job Description

Administrator, Bravo Academy for the Performing Arts
• Start Date: Position is available immediately. We will notify if the position is filled before this our application deadline.
• City/Town: North York, Toronto
• Full-time (35-40hrs)
Mon 1:30-9:30pm, Tues 2:15-10:15pm, Wed 1:30-9:30pm, Thurs 1:30-9:30pm, Sat 8:30-4:00pm.
*There is some flexibility in the schedule.
• Starting Salary: $14-$17/hour based on experience

Job Description


We have recently expanded and grown and we are looking for an energetic, resourceful, independent worker who is eager to take responsibility in this vibrant artistic community. This is an exciting opportunity to work at a new state-of-the-art facility and join a fantastic team and play a crucial role in running an established organization. The position will entail late afternoon/early evening work from Monday through Thursday, and Saturday daytime work.


Administrative duties include:


• Customer Service:  Answering phones and responding to voicemail; responding to email inquiries; greeting customers at the front desk in a warm and welcoming manner, responding to inquiries for information or account balances, registering students, follow-up with students, working with instructors and other administration staff to confirm schedules/ studio assignments, etc.
• Managing communications between faculty, staff, and clients
• Assisting teachers with course materials preparation and distribution, periodic stock taking.
• Managing accounts and processing payments using JackRabbit Music software
• Sales: Discussing course options with new prospective students and getting students to register for appropriate courses.
• Maintaining Student files and updates in using JackRabit Music Software
• Updating Google Docs and schedules with keen eye for detail
• Basic design (programmes, bio/headshot boards, etc)
• Setting up studios as required, which includes movement of equipment. Some minor lifting may be required.
• Monitoring and maintaining school safety and hygienic conditions in the school.
• Keeping detailed notes on daily occurrences and relaying all notes to Manager after all shifts

 

Website Duties Include:
• Ensuring that website is accurate and up-to-date
• Posting schedules and general information for specific classes as needed

Off-Site Duties Include:
• Aiding in Front-of-House for performances in May & December (additional hours required)
• Miscellaneous duties as assigned



Requirements:

The successful applicant should demonstrate the following:


• Undergraduate degree or diploma (preferably in Arts Management/Administration or Arts & Culture)
• Police record check will be required upon hiring
• Love of music, musical theatre, and the performing arts
• Exceptional customer-service experience both in person and on the phone, aimed at consistently delighting customers
• Strong written and verbal skills
• High degree of professionalism, discretion with sensitive information and personal integrity.
• Enjoys working with children, youth and teens
• Tact, diplomacy, and discretion in corresponding with faculty, staff, and clients
• Keen attention to detail
• Highly organized and self-motivated
• Strong computer skills (Experienced in Microsoft Word, Excel, and Outlook. Publisher is an asset)
