Currently an employment opportunity exists in the York Quay Centre - Facilities department for a full-time Production Coordinator. Reporting to the the Event Production Manager, the Production Coordinator will coordinate and oversee the planning and execution of the production activities for events at York Quay Centre.
MAJOR RESPONSIBILITIES INCLUDE:
= Compile production information for an event from user groups, performers, programmers, external personnel, and other departments. Activities include, determining resource requirements, estimating costs, equipment distribution, set-up diagrams, technical information sheets, rental of services/equipment, catering, transportation, and box office & front of house details.
= Gather booking information for generating contractual agreements with user groups (when a programmer is not assigned). Provide an orientation of the facilities to user groups and ensure they are familiar with all regulations and contract conditions.
= Prepare production packages for ALL aspects of an event including production schedules, diagrams of set-ups, security details, electrical installations, catering details, technical services details (sound, lighting and audio visual) etc. Distribute packages and disseminate information to all relevant parties.
= Coordinate and oversee the production of the event in prioritizing and scheduling work, monitoring the production budget, organizing work flow and assisting with set-ups. Troubleshoot during the event and represent Harbourfront Centre’s interests regarding the venues and quality of production elements.
= Oversee and evaluate Assistant Production Coordinators' job performance during events
= Contact departments to evaluate level of satisfaction with production of event, analyze problems, develop solutions and recommend changes for future implementation.
= Reconcile the event budget for invoicing and/or charge backs.
Requirements
The ideal candidate will have a minimum of 4 years of related experience in theatre and live music event production, including stage management and technical services. The candidate must be knowledgeable and experienced in the areas of lighting, sound, staging, AV equipment. They must also have excellent computer skills including knowledge of drawing programs. Candidates are expected to be able to determine production needs and develop project proposals for tender to designers, lighting, sound, audio visual and staging companies. Exceptional interpersonal skills, tact and diplomacy are required when dealing with internal and external groups. Strong attention to detail and accuracy are required when working with financial information, creating schedules, diagrams and stage plots. Excellent time management and organizational skills, with the demonstrated ability to meet tight deadlines and manage multiple projects are a must. The successful candidate will be flexible with work schedules involving evenings, weekends, and overtime when required.
