GalleryExpress Fine Art Services is based in Toronto, Ontario, Canada serving the 

Greater Toronto Area (GTA) and beyond. We offer specialized fine art handling services for a range of clients from artists, designers, framers, conservators, and private collectors, to governments, auction houses, commercial offices, galleries, and institutions of various types. We also partner with fine art service providers nationally and internationally to provide support for their clients or to extend support for ours.

We offer clients a professional, flexible, reliable, and secure fine art handling service which includes deliveries, installations, packaging, bespoke crating, custom fabrication, international shipping, dedicated fine art storage, and a climate controlled fine art shuttle to and from New York City. We manage small and large projects for a number of our corporate clients from troubleshooting logistically challenging installations/relocations to completing RFQs for overseas services. 

Our ideal candidate has excellent written and verbal communication skills, the ability to work independently and as part of a team, the ability to prioritize, organize, and manage multiple tasks to meet specific deadlines, and the capacity to readjust priorities as changes occur.

Administrative Assistant

This position provides general support to the GalleryExpress team in all aspects of administrative operations and will provide an exceptional client experience for our customers and partners.
 

Duties: 

Front of house responsibilities including, but not limited to, answering phones, responding to client inquiries, confirming bookings and scheduling bookings. 

Daily operations support responsibilities including, but not limited to, maintaining financial records, administering invoices, processing payments, banking, financial reporting, maintaining electronic and hard files, and database entry.  Further duties may also include preparing and filing work orders; liaising with technicians in the field; monitoring schedules; and, preparing support documentation for shipments.

 



Requirements:

Qualifications: 

  • One year minimum experience
  • Strong organizational skills
  • Excellent problem-solving skills
  • Proficiency in Microsoft Office
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team, critical.
  • Ability to prioritize, organize, manage multiple tasks to meet specific deadlines, and readjust priorities as changes happen. 
  • Design and presentation skills an asset.
  • Knowledge of the Toronto and global art world an asset.
