Summary of Function:
Reporting to the Director of Cultural Engagement (CE), this position is directly responsible for the planning, execution and oversight of diverse and multidisciplinary programming for festivals and events at Harbourfront Centre.

The Associate Producer will work with the team to coordinate and/or program all elements required to produce first class presentations of programmed events.  Said activities shall include but not be limited to performer contract negotiation and creation, budget management, presentation logistics, production details, accounts payable including fees, royalties, invoicing, grant applications and hospitality requirements.
DUTIES  
Event Programming:
 
 
  • Develops program ideas and writes proposals
  • Identifies groups and individuals to participate and support the program
  • Develops program content and determines length of program, appropriate facilities, schedule and volunteer requirements
  • Researches and identifies key contacts and organizations to assist in meeting programming objectives
  • Attends outside events to develop and maintain contacts
  • Identifies new talent by screening live performances and responding to inquiries from artists, agents, etc. 
  • Meets with key contacts to discuss their involvement in Harbourfront Centre programming
  • Maintains list of contacts for use by others in the organization
  • Hires performers and negotiates contract conditions
  • Works on-site during events to supervise, liaise with staff on-site and evaluate success of program
  • Completes special projects/ assignments designated by the Director of  CE
   
Partner Organizations
  • Liaises with partnering cultural organizations and departments to access programming opportunities within Harbourfront’s Festivals and Events.
  • Informs cultural groups of program requirements and costs, works with partnering group to produce schedule, and offer programming recommendations in order to produce a successful event.
  • Liaise with Harbourfront’s Marketing Department and the Partner to ensure consistent, accurate and far reaching promotion of the event and the festival.
 
 
Budget Management
  • Works within the budget provided by the Director of CE to produce the program, considering both revenue generating projects as well as expenditures as per the approval of the Director of CE.
  • Manages program budget expenditures, determining allocation of funds to artists, while ensuring that the programming ideas can be supported by the budget available in other production and budget lines
  • Liaises with Sponsorship and Fundraising department to access sponsors that can be integrated into the programming where suitable, and to offer ideas for potential sponsors
  • Reconciles actual event expenditures to contracts to ensure accuracy of final payments to and from Harbourfront Centre
 
Marketing and Promotions
  • Liaises with Marketing, Publicity and Design department to ensure accuracy and appropriateness of publicity and marketing strategies for programs
  • Reviews copy and evaluates whether plans will reach the target audience
  • Identifies unique methods for reaching target groups
  • Conducts interviews for radio, television, and print media for promotion of events when required
 
Administration
  • Initiates and gathers the information for the preparation of the booking and billing contracts, and keeps other departments informed of program plans
  • Establishes and/or works within an established critical path for each event that incorporates key internal and external departments i.e. production, marketing, finance.
  • Determines signage requirements and submits requests
  • Evaluates program success and effectiveness in meeting programming objectives
  • Collects information from program participants and other departments, prepares evaluation report and makes recommendations on if, when and how to repeat the event
 
Workplace Health and Safety
  • All staff is required to take reasonable care of their own health and safety and that of other personnel (including volunteers and interns) who may be affected by their conduct.


Requirements:

Skills & Requirements
Essential Criteria
  • Knowledge and skill normally acquired through a university degree(s) in education or related experience and considerable experience (5-6 years) in cultural institutions.
  • Knowledge of and experience with festivals, events and institutional networks locally, nationally and internationally and demonstrated leadership in this area.
  • Knowledge and experience in developing innovative programming opportunities for a variety of audiences and with a range of partners.
  • Interpersonal skills are required in dealing with diverse communities, coordinating with other departments and in managing staff.
  • Extensive knowledge and experience with public programming within the arts and cultural sector.
  • Job requires an understanding of financial process and procedures and the ability to develop and monitor budgets and sound financial management.
  • Job requires excellent relationship management skills, tact and diplomacy when dealing with diverse communities and peers.
  • Creativity and imagination in developing new programming ideas, with the ability to assess and make judgments on a variety of performances and determine their suitability
  • Excellent verbal and written communication skills to liaise with outside groups, general public and media
  • Experience developing and maintaining partnerships with external organizations
  • Weekend and evening work required.
Desirable Criteria
  • Experience in the not-for-profit sector
  • Other languages than English
  • Experience with Artifax and Basecamp
  • Experience working in marketing and media relations is an asset
