Job Description

Position: Executive Personal Assistant
The Company is a Toronto-based, high-net-worth family office focused on real estate and financial market investments. The principal has a substantial commitment to philanthropy and the arts.
The Position:
This is a unique role for an entrepreneurial Executive Assistant, comfortable in a fast-paced and sophisticated environment.  The ideal candidate is creative, smart, and energetic. In command of outstanding problem-solving skills, this candidate is focused on finding solutions. 
In short, the right candidate for this position is resourceful and independent; he or she enjoys good judgment, common sense, and emotional intelligence.
Key Responsibilities 
The personal assistant should feel qualified and competent enough to take an unclear assignment and, within certain boundaries, figure out how to make it work.
Responsibilities involved:
•        Provide administrative and communication back-up for all business activity,
•        Coordinate agendas and meetings,
•        Manage a highly dynamic calendar,
•        Communicate –– spoken and written –– on behalf of the employer,
•        Manage a comprehensive administrative and project-related filing system, both digital and hard-copy,
•        Troubleshoot all technology, in conjunction with an IT team,
•        Manage donations and other activities related to the life of an established philanthropist,
•        Book and maintain travel itineraries at a VIP level,
•        Produce checks and reconcile credit cards,
•        Manage sophisticated events with VIP guest lists, as well as entertainment arrangements,
•        Undertake projects and research as required,
•        Manage personal errands.


The successful candidate had at least ten years experience providing support to a results-oriented executive –– candidates without this experience will not be interviewed.
Other qualifications:
•        A minimum of a Bachelor of Arts degree.  A Graduate degree would be an asset.
•        Superb time management and organizational skills
•        In possession of an exceptionally strong work ethic
•        Proficient with digital technology and computer literate;  experienced with MS Office, including Microsoft Word, PowerPoint, Excel, and Outlook,
•        The candidate should have a full Ontario driver’s license and a current passport.

The candidate should be lifelong learner with a passion for the arts, a person with integrity, who finishes whatever he or she commits to. This is a flexible person –– adaptable and comfortable with work/life integration, able and willing to work non-traditional hours, including some travel.
The candidate is discreet, managing critical situations confidentially and with sensitivity.
This is a self-confident, decisive person that understands quickly what needs to be done in a wide verity of circumstances and is able to act decisively.

This is an unique and exciting opportunity for the right individual.  Required travel is minimal and is exclusively to Europe and New York.
