Job Description

CookeMcDermid is one of Canada’s leading literary agencies representing many bestselling and internationally known writers and public figures. Our downtown office offers a fast-paced, exciting and team-oriented environment. We are a growing company and are looking for a bright, positive, hard-working, and level-headed Operations Assistant who can grow with the role. It should be noted that this position will not involve reading manuscripts or editorial work.  This is an administrative position and the ideal candidate will be one whose interests lie in systems and office operations.

Responsibilities include, but are not limited to:  
  • Providing financial administrative support to the Operations Administrator, corralling and recording documentation across agency’s systems
  • Assisting with the collection of outstanding payments and/or documentation, as needed, including special subsidiary rights income tracking, and generating invoices, reporting to the finance department
  • Processing and tracking royalty statements and payments (including extended royalties tracking for specific clients), reporting to the finance department
  • Receiving, processing, and dissemination of incoming mail and shipments, including authors’ copies of books
  • Managing the security, economics, and timeliness of all outgoing mail
  • Contracts administration (adding and/or updating deal information across all internal documents), reporting to the contracts department
  • Vendor management and office administration support, including supplies maintenance, and systems maintenance, reporting to the operations department and/or management
  • Corresponding with agents, author clients, and external publishing personnel on administrative or financial matters
  • Occasionally assisting with the reception of visitors, answering the phone, and meeting set-up


Requirements:

Education:
  • Post-secondary degree, certificate, or equivalent training.

Skills and experience:
  • proficiency with Excel, Outlook, Microsoft suite
  • strong organizational and communication skills
  • ability to pay keen attention to detail, while also seeing the bigger picture
  • ability to remain flexible in the face of shifting requirements and priorities
  • ability to work independently, with some supervision
Assets: 
  • office experience in an administrative role
  • experience with SalesForce, working on a cloud server and basic IT knowledge
  • ability to assess and analyze the efficiency and productivity of existing administrative systems and devise new ones to respond to new situations

Hours: M-F, 9:00am to 5:00pm
