Job Description

Marketing, Management, Accounting, & Executive Assistanc
Assist Principal Architect in tasks and errands
Assist Communications Director and Accounts Manager in outstanding projects
Prepare layouts and potential award submissions
Perform graphic design-related tasks
Fact-check articles, descriptions and reports for submissions
Assist in small accounting tasks and responsibilities
Answer phone, direct calls, check voicemail/s
Answer door: greet guests/clients and offer refreshments
Maintain, check, archive and respond to inquiries in studio inbox
Check, distribute, and open mail/couriers/packages
Check incoming e-faxes and distribute
Prepare couriers/regular mail
Assist with meeting set-up (coffee/water/snacks/catering)
Assist with Lunch & Learn set-up
Office Administration, Archiving, Resource Library
Troubleshoot technical issues, correspond with our technical company (LTS)
Ensure set-up of auto-response emails during holidays
Order office supplies - (keep track of supplies and replenish on time)
Arrange for minor office repairs (calling a plumber, window cleaner, electrician)
Organize and fully manage, update, maintain the Sample and Spec Library
Assist project staff with filing (digital and paper)
Maintaining tidiness of the office (daily)
Empty/load dishwasher (as needed/daily)
Clear fridge on Thursday office clean-up
Organize catering order/set up for VIP lunches (Principals & VIP project leads meetings)
Changed burned out light bulbs
Order office resources and hardware supplies (keep eye on kitchen/bathroom resources  and replenish on time)


Must be proficient working with Windows computers
Must have superior command of Word/Excel/Outlook and be comfortable learning other software
Must have strong skills working with InDesign and Photoshop
Experience working with Quick Books
Background in marketing and administration is a plus
Key Details
Office hours are 9:30 to 6:00 with a half hour or one hour for lunch
(Part-time/Full-time schedule may fluctuate according to how busy the office is)
Dress is business casual
