Description
About Arc
Arc Poetry Magazine nurtures and promotes the composition and appreciation of poetry in Canada and abroad, with particular but not exclusive emphasis on Canadian poetry. In addition to publishing and distributing the work of poets, Arc Poetry Magazine organizes and administers awards, contests, public readings and other events.
A dedicated volunteer board runs Arc Poetry Magazine made up of poets, scholars and lovers of literature, with the help of a small team of independent contractors. The magazine publishes three issues yearly, presents several awards, and runs a Poet-in-Residence program.
About the Editorial Coordinator
The Editorial Coordinator (EC) plays an important administrative role. Working closely with the Managing Editor, the Editorial Board, and the Board of Directors, the EC ensures a positive experience for contributors, facilitates the professional execution of awards and programs, and helps shape the magazine’s editorial direction.
This is a part-time contract for services. The EC will carry out the duties outlined below based on an annual calendar and work plan as agreed with the Executive. Work will fluctuate throughout the year based on Arc’s production cycles, but day-to-day scheduling will be at the discretion of the Editorial Coordinator in cooperation with the Executive.
Key Duties
Content Coordination & Production Support
- Work with the editorial board to manage Arc’s submissions program and content curation, including coordination of review processes (including by First Readers, Associate Editors, and Lead Editors, including occasional Guest Editors)
- Coordinate bimonthly or as-needed editorial board meetings
- Administer contracts with contributors (print/web), contest entrants, grant applicants, award recipients, permission holders, and other editorial honoraria recipients (e.g., award judges) and liaise with the Bookkeeper and/or Treasurer to coordinate payments
- Lead production coordination for three magazine issues per year, including ordering magazine contents, preparation of front and back matter, coordination of contributors’ review of print proofs, copyediting, and proofreading
- Lead execution of calls for submission through Arc’s communications channels, including email and on social media
- Work with the Managing Editor to ensure proper circulation management
Programming and Activities
- Lead the Poet-in-Residence program, including contracting and coordinating with the PIR chosen by the board and coordinating the selection of mentees in consultation with the Poetry Editors with support from the Managing Editor as needed
- Lead the coordination of Arc’s contests and awards, including timeline management, jury recruitment, and submission tracking, with support from the Managing Editor as needed
- Support execution of OAC Recommender Grants, including assessment of applications
- Lead execution of calls for submission/entry to contests and awards through Arc’s communications channels, including email and on social media
- Assist the Board in the coordination of events and liaising with event partners and attend Arc events
Advertising
- Coordinate advertising in Arc Poetry Magazine or its website, including design or contracting thereof, placement and invoicing, and liaising with all advertisers
- Create, review, and update advertisements for print and online promotion of Arc and its programs, including image sourcing, copywriting, design, and size/format adjustments
- Collaborate with the relevant team members to coordinate advertising on arcpoetry.ca, including design, posting, and liaising with advertisers as needed
- As time allows: Work with relevant committee(s) to build a list of prospective advertisers in Arc Poetry Magazine or its website and support solicitation
Other
- Provide feedback on grant applications and other Arc documents as required
- Contribute to the Managing Editor’s report summarizing activities at each meeting of the Board of Directors
- Work with the Managing Editor to control budgets as well as issue, deliver, and ensure the return of contributor contracts
- Assist the Board and other contractors in delivering marketing content such as social media images and captions related to key program areas and, as needed, to fundraising and subscription campaigns
Remuneration
- Remuneration for this contract will be $17,000 over the contract period of 12 months, plus relevant taxes
- This is a contract for services, and the Editorial Coordinator assumes all responsibility for statutory remittances and personal reporting associated with this income

- Respect for diverse people and communities, committed to working towards inclusion and equity
- Comfortable working in Google Workspace environment; comfortable with cloud-based systems and digital solutions
- Access to tools required to perform duties (e.g., laptop, internet)
- Experience reading and discussing poetry is considered an asset
- Experience with Submittable considered an asset
