Description

The Brampton Arts Organization (BAO) is recruiting for a Special Event and Programming Coordinator to provide comprehensive support to BAO’s programming and engagement initiatives and goals. In this position, the right candidate will work closely with the Engagement and Education Coordinator and Head of Programming.

The contract runs from June 16 – August 15, 2025. The position involves 30 hrs/week (9:00 am to 3:00 pm), five days per week. BAO maintains a hybrid work arrangement, such that two of the five work days will be on-site for the duration of the contract. Evening and weekend in-person work may be required, so the schedule will be flexible according to events and programs. The successful candidate will travel across Brampton and GTA for off-site events; therefore access to a vehicle is preferred.

Wage: $20/HR, Paid Bi-Weekly.

The Role and its Responsibilities and Skills

PROGRAM AND EVENT COORDINATION & FACILITATION:

  • Helps coordinate all BAO-led artist booths at the Brampton Farmers’ Market and complimentary programming and performances (ex. chalk murals, live music).
  • Helps execute high impact events and represents BAO onsite at events, programs, and festivals, setting up the BAO booth and representing the organization at outreach events (ex. city events, concerts, local markets).
  • Assists with event and exhibition preparation, hosting of online and in-person events and workshops (ex. Zoom workshop setup and attendance), setup and tear down for our summer events including Open Studio+ days.
  • Attends meetings, activities, and events to raise awareness of BAO programs and services and represents BAO at partner events.
  • Helps to generate event summaries post-event.
  • Helps guide engagement strategies and draft event related communications and key messages.

ADMINISTRATIVE SUPPORT:

  • Provides administrative support to maintain databases, online files and general research and accompanying report drafting.
  • Maintains project related documentation and file organization and supports the development of workshop presentations and reports.
  • Assists with meeting preparation and note taking.
  • Provides exceptional customer service while adhering to organizational policies, practices, and standards.
  • Works with a high sense of confidentiality based on the requirement to access, review, maintain, and distribute sensitive communications, materials, and/or records.
  • Participate in project and team meetings to meet project needs and provide administrative support (on-site as needed).
  • Works well with diverse groups in support of project and operational goals and initiatives.
  • Demonstrate corporate values.
  • Other duties, as assigned.
