ORGANIZATION DESCRIPTION 

Cantabile (pronounced Kahn-TAH-bee-lay) is a community-based performing arts and music education organization.  Founded in 1996 as a community choral organization, Cantabile has grown to offer a wide variety of musical education and performance opportunities for singers of all ages. Cantabile is dedicated to maintaining the highest standard of musical excellence – our programs have been recognized internationally for innovation and artistry, and our performances often attract sell-out audiences. Cantabile operates a number of different programs including: parent & tot music classes, 7 choral education and performance programs, 5-concert subscription series, school outreach activities, audience sing-along movie screenings and other sing-along events, commissioning new choral works, recording, national and international touring, hosting annual guest-conductor/artist residencies, hosting an apprenticeship program for advanced students in singing, choral conducting, and/or collaborative piano, as well as outreach performances and events throughout the community.  

JOB DESCRIPTION 

We are accepting applications for the position of Operations Manager, a full-time one-year contract position with the possibility of extension to a full-time permanent position. Reporting to the Artistic-Executive Director (AED), the Operations Manager will support Cantabile’s year-round artistic and educational programming, overseeing the organization’s daily operations and long-term project management. 

Key areas of responsibility include: 

Administrative Oversight 

  • Manage administrative tasks such as scheduling, correspondence, and record-keeping. 
  • Supervise the recruitment, training, and scheduling of staff and volunteers. 

Financial Administration 

  • Assist in budget development and financial planning in collaboration with the AED and finance committee. 
  • Track expenses, process invoices, and ensure adherence to budgetary guidelines. 

Communication and Coordination: 

  • Serve as a liaison between artistic staff, administrative team, choir members, and external stakeholders. 
  • Communicate important information to choir members, such as rehearsal schedules, performance details, and organizational updates. 
  • Facilitate effective communication channels within the organization to ensure all relevant parties are informed and aligned. 

Fundraising 

  • Update and maintain a database of potential funders, grant opportunities, and deadlines. 
  • Support the AED in the development and implementation of the fundraising strategy. 
  • Assist with grant writing, proposal development, and reporting requirements for funders. 

Programming 

  • Coordinate the registration process for choir members, including managing registration forms, processing fees, and maintaining membership databases. 
  • Arrange and oversee the booking of rehearsal and performance spaces, including securing contracts, coordinating logistics, and managing scheduling conflicts. 
  • Develop and maintain updated documentation, policies, and procedures related to choir operations, including membership guidelines, rehearsal protocols, and performance expectations. 
  • Serve as a liaison between administrative staff, music directors, and volunteers leads to facilitate seamless communication and collaboration. 

Production 

  • Develop comprehensive event plans, including timelines, budgets, and logistical requirements, in collaboration with A-ED. 
  • Recruit, train, and schedule volunteers to support various event roles, such as ushers, greeters, and event assistants. 

Marketing and Communications 

  • Oversee and maintain social media accounts 
  • Manage communications with patrons, volunteers, audience, corporate partners, choristers and parents
