Description
Duties/Responsibilities:
Provide daily administrative support for Dean Artists Management staff including:
- Liaising with presenters (operatic, symphonic) and performing arts organizations globally.
- Communicating with roster artists on a day-to-day basis.
- Curating promotional materials, inclusive of drafting and editing biographies, filing promotional recordings and photos, and general website updates (weekly news, artist bios, etc.)
- Servicing contracts for artists’ engagements, including all administrative procedures, organizing travel logistics, detailed schedules and itineraries, and invoicing if required.
- Preparing suggestion documents for casting purposes and upcoming engagements.
- Scheduling auditions, meetings, and logistical details between clients, producers, and DAM staff, as required.
- Working independently and collaboratively on a mix of special and recurring activities. These can include international visa applications, event organization, conference preparation, etc.
- General office duties, including answering calls, taking messages, filing documents, and database management.
- Contributing to long term promotional planning and marketing ideas.
- Aiding in the preparation of materials for grant submissions.
Position Details:
- Full time, in-person.
- Starting salary range is approximately $40,000, negotiable contingent on experience.
- Office hours are 10-6pm, Monday to Friday. Some evenings and weekends expected to attend events, as well as travel.

Required Qualifications and Experience:
Qualifications:
- Resident of Canada and/or authorized to work in Canada.
- Knowledge of operatic, oratorio, and symphonic works, and their industries, is required.
- Must not currently be working as a professional or aspiring performer.
- Must be able to work in a fast-paced environment with competing tasks and demands.
- Exceptional written and oral communication skills, with sharp attention to detail and timely responses.
- A proactive mentality, while working both as a teammate and independently.
- Proficiency with Microsoft Office Suite, Google Suite, Squarespace, and Adobe Acrobat. Familiarity with software like Overture or Tessitura a bonus.
- Ability to remain calm, objective, and professional in high stress situations.
- Demonstrate great sensitivity and capabilities to handle confidential situations with professionalism.
- Bilingual (French and English) an asset, as well as any skills in German or Italian.
- An appreciation for the performing arts.
- Practical experience in the world of performing arts production and management an asset.
- Post-secondary education in arts administration, or similar certification or experience, an asset.
