Electric City Culture Council is a not-for-profit arts service organization supporting the development of individual artists and arts and culture organizations in Peterborough and Peterborough County. Our programs and services provide opportunities for artists to create, produce, and present work, and for audiences to experience and appreciate the arts. As an arm’s length municipal arts council, our work builds and strengthens the foundations and infrastructure of arts and culture in our area.

OVERVIEW

This position provides administrative and project/event production support for EC3’s programming and services and undertakes research related to programming and services.

The position reports to the Executive Director and works with other staff and contract employees to ensure that EC3’s programming and services are delivered effectively and efficiently –  on time and on budget, and that evaluation and archival documentation are completed and maintained for future use. Activities may include planning, organizing and presenting workshops, mentorships, residencies, panel discussions, special events etc.

Duties include providing support in related resource development (grantwriting, sponsorship, stewardship etc.), some web site maintenance/updating and social media promotion, as well as some community outreach and editorial work. Some staff supervision may be required.

Research duties may include primary as well as secondary research, statistics, interviewing and assessment and analysis for report writing. This person is expected to know and understand the organization’s mission and vision, follow EC3’s policies and protocols, respect confidentiality and conflict of interest guidelines, and conduct themselves in the best interest of the organization and the  community it serves.  Knowledge of the arts and of the local arts sector, and the professional role of an arm’s length arts council is an asset.

JOB DESCRIPTION

Program/Project Administration and Coordination (50%)Working with the EC3 ED to develop and deliver programming events, services and other organizational activities that fulfill EC3’s mandate.

  • Maintain administrative and operations systems, procedures and records related to these activities
  • Managing contracts and payments/fees for curators, writers, artists, speakers, and workshop facilitators and facilities rentals related to programming and events
  • All production and promotion details
  • Organize documentation of special events, workshops, programming etc., publish, distribute, and archive appropriately
  • Undertake research projects related to current or anticipated programming and services including strategic leadership and advocacy initiatives that reflect the needs and concerns of the local arts community
  • Participate in the organization and administration of Artsweek and Peterborough Arts Awards activities as required
  • Respond to telephone and email enquiries regarding programming and services
  • Represent EC3 at related community events and consultations as required

Financial Planning, Management and Reporting (10%)

  • Maintain documentation of all related financial transactions
  • Participate in budget planning as required
  • Ensure financial policies and procedures are followed
  • Work with Treasurer and bookkeeper to prepare programming financial reports as required

Revenue Development: Fundraising/Grant Applications, Sponsorships (20%)

  • Research and prepare grant applications with the ED as required
  • Meet all reporting expectations of granting bodies with the ED as required
  • Work with the ED and Resource Development volunteers to approach and secure private sponsors as required for events and activities
  • Communicate with sponsors (donor services/ stewardship) as requested

Marketing, Communication/Outreach (20%)

  • Support the maintenance of up to date and accurate web site
  • Support the maintenance of current media, stakeholder, membership and general mailing list databases
  • Develop and send out Media Releases and Information Bulletins in collaboration with ED and Marketing and Communications staff
  • Develop models and support delivery of social media campaigns for all events and activities
  • Create promotional materials for EC3, and/or collaborate with designers to do same
