Description
Serves as the main point of contact for all Grayson Music guests entering the space. Must have awareness of who is coming in/out and ability to confidently deal with this traffic. Handle phone inquiries and general mailbox.
Manage the in-house client experience by being both responsive to client requests/questions and having an understanding of the client’s needs/the internal resources available to you. Always making yourself available to address these needs while clients are in the space.
Coordinate session meals and dietary needs by communicating effectively with various catering and food delivery services and the production team, to ensure client needs are met.
Track department expenses and complete expense reports in a timely manner, to a high degree of accuracy.
Daily monitoring of studios/workspaces/lounge/washrooms. Making sure the space is always clean and stocked with key items routinely requested by clients, visitors and staff.
Work closely with production and various other departments to seamlessly provide an exceptional client experience.
Organize annual events, both in-house and external, reviewing locations, budgets and expectations, with management.
Maintain vendor relationships, orders supplies and equipment, creates expense reports, requests payment approvals.
Organize couriers as needed, receive mail and package deliveries.

Qualifications and Experience
Required Qualifications and Experience:
Strong time management skills and ability to multitask.
Excellent communication skills.
Passionate about hospitality and customer experience. You are thoughtful about the details and pay special attention to clients and their needs.
Energetic with a positive demeanor and comfortable working under pressure.
Patient, self-motivated, dependable and have phenomenal organization skills.
Independent, proactive, and demonstrate flexibility in navigating a constantly changing environment.
Post-secondary education required
2+ years of customer service or administration experience Familiarity with music industry culture is a plus.Preferred Qualifications and Experience:
Work Schedule: Regular business hours, Monday to Friday, 8:30 – 6:00pm. Must be able to work occasional early mornings and evenings for events. Occasional weekends required for event support.
