POSITION SUMMARY

Employment Term: Fixed-term contract, April 2025 to December 2025
Salary: $50,000 to $55,000 per annum, prorated to 3 days per week

The Events Coordinator provides critical day-to-day operational leadership in the sustainability, functionality and growth of MOCA Toronto’s signature, cultivation and stewardship events. This role is a Parental Leave cover, from April to December 2025.
The Events Coordinator will support the Development team, planning and delivering a roster of special events to engage, sustain and enhance relationships with corporate sponsors, individual donors, members, external vendors, partner organizations and other MOCA stakeholders. The major project for 2025 will be to coordinate and deliver the MOCA Toronto Award Gala.
The successful candidate will collaborate with colleagues across departments as well as the Board of Directors and committee-level volunteers. They will work closely with the Director of Strategic Fundraising to oversee the direct coordination of high-quality events. This position is ideal for a motivated self-starter who is passionate about delivering exceptional customer service and has three or more years experience managing high-profile fundraising events and reaching ambitious revenue targets.

Qualifications and Experience

RESPONSIBILITIES Events
- Oversee the development and direct coordination of MOCA’s events portfolio, including the signature MOCA Award gala in December 2025, exhibition opening and stewardship events, as well as other events as scheduled
- Lead on event management, developing, delivering an event strategy in collaboration with MOCA staff
- Identify, engage, and manage event vendors which may include venues, event rentals, catering, staffing, florals, audio visual equipment and services, artists/performers, and others
- Adhere to set event timelines, budgetary parameters, legal, best practice and contractual compliance
- Support with the creation of event communications and materials, working with graphic designers and the MOCA team
- Contribute to event fundraising through sponsorships and ticket/table sales, and the related tracking, fulfillment, receipting, and reporting
- Monitor, evaluate and report on feedback and event metrics, outcomes, and participation, using this information to support stewardship of donors and sponsors
- Negotiate financial savings for MOCA through in-kind contribution, vendors sponsorships, and cost reductions while maintaining goodwill and cooperation among suppliers and partners
- Work across departments to coordinate a programme of innovative and exciting events
- Collaborate with the marketing team to implement event marketing and promotions to maximize event fundraising revenues
- Conduct prospect identification and research and write proposals/reports as required
- Coordinate the participation of colleagues across the organization to support MOCA’s event portfolio
- Process financial contributions and receipts and continuously monitor event expenses and revenues
- Ensure the timely acknowledgement and recognition of MOCA event sponsors and donors on print, online and on-site signage
- Maintain accurate contact records in organizational constituent relationship management (CRM) database
- Track event-related activity, interactions and correspondence
- Ensure privacy and data quality controls
- Produce reports as requested
- Support departmental evaluation and reporting strategies
- Participate on events-related Board, ad-hoc or internal committees
- Maintain and build strong working relationships with MOCA members, staff and volunteers
- Represent MOCA in Toronto’s larger cultural, philanthropic and professional communities
- Be an informed member of Development team, and make creative connections between people, projects and programs to increase revenues and stakeholder engagement
- Participate in and support additional fundraising initiatives and/or organizational projects as required
Preferred Qualifications and Experience:
SKILLS AND QUALIFICATIONS Must-Haves
- A minimum of three years of hands-on experience in managing high-profile fundraising events reaching six-figure revenue targets
- Proven ability to successfully develop, cultivate, solicit, close, and steward event sponsors and participants
- Exceptional project management skills
- Outstanding social and relationship management skills
- Highly effective written and verbal communication skills
- Proven strength in working with complex budgets and creating financial reports
- Experience working with relational databases and/or CRM platforms
- Experience working with GSuite an asset
- Experience working with board and committee-level senior volunteers is considered a strong asset
- Experience working at or with multi-stakeholder, not-for-profit environments is considered an asset
