ADMINISTRATIVE DIRECTOR– NATIVE WOMEN IN THE ARTS

Native Women in the Arts (NWIA) is currently seeking a highly organized and motivated individual with experience working in arts administration , grant writing, and/or the non-profit sector to join our team as Administrative Director.  This is an exciting opportunity for an Indigenous professional to step into a leadership role at a, small  but mighty, Toronto-based grassroots Indigenous run arts organization.

START DATE: February 3rd, 2025 (there is flexibility to accommodate a start date as soon as beginning of January 2025 if the right candidate can be secured earlier)

HOURS: 4 days or 32 hours/week

SALARY: $60,000/per annum + annual employee health spending allowance in place of conventional benefits.

WORK SPACE: The Administrative Director is expected to work out of the NWIA office located at 180 Shaw Street in the Trinity Bellwoods Neighbourhood of Toronto a minimum of two days a week. Telecommuting and/or a hybrid model can be accommodated for remainder of work week. The Administrative Director will be provided with a mac laptop for work purposes.

Founded in 1993 by Sandra Laronde, Native Women in the Arts (NWIA) is a non-profit multi-disciplinary arts organization and registered charity based in Toronto, Ontario on the treaty lands and territory of the Mississaugas of the Credit First Nation, which is also the traditional territories of the Anishnabeg, the Haudenosaunee and the Wendat peoples. NWIA’s vision is the reclamation and advancement of Indigenous cultural and artistic expression by Indigenous women and other Indigenous gender marginalized folks*, within the diverse artistic landscape of the country now known as Canada.
Native Women in the Arts (NWIA) is one of the leading arts organizations in Canada for Indigenous women and other *gender marginalized Indigenous artists working at the intersection of customary and contemporary practices.

NWIA supports multi-disciplinary artistic expression by connecting, training and presenting emerging, mid-career and established artists whose work reflects a commitment to art, culture, community, and the advancement of Indigenous people.

NWIA serves as a site of artistic exchange, encouraging dialogue between artists and audiences about social, cultural and political issues and their relationship to artistic expression. Our programming connects to a diverse participant and audience base, predominantly in Toronto and Northern Ontario as well as virtually online.

*NWIA respects trans women as women. We use the term “gender marginalized” to be inclusive of transfeminine folks who may not identify as women, trans men and transmasculine folks, Two Spirit, non-binary and gender queer folks.

POSITION OVERVIEW
The Administrative Director will play a key role in ensuring the smooth operations of the organization and will oversee all administrative, and financial functions.

The Administrative Director will work in partnerships with the Artistic Director under NWIA’s co-directorship model. Both the Administrative Director and the Artistic Director report directly to the Board of Director and work with the board to set strategic priorities and objectives for the organization. This position will be offered to the successful candidate for an initial 3-month probationary period after which this will consider a permanent position. We are hoping for candidates who want to grow along with the organization and are committed to staying a minimum of 2-years.

KEY RESPONSIBILITIES:

General

  • Manage day-to-day administrative tasks and operations of the organization.
  • Develop and implement organizational policies and procedures to ensure compliance with legal and regulatory requirements.
  • Monitor and evaluate the effectiveness of organizational programs and initiatives, making recommendations for improvement as necessary.

Community Liaison

  • Along with the Artistic Director, act as the face of NWIA to audiences and all stakeholders including artists, funders, co-presenters and community members.
  • Work with other staff, the board of directors, and Elders/Knowledge keepers to ensure NWIA is well represented in the Toronto Indigenous arts/cultural community and in the larger arts/culture landscape in and outside of Toronto
  • Represent the organization at meetings, conferences, and public events as needed.

 Grant Writing and Fundraising

  • The Administrative Director acts as the grant writer for the organization and is responsible for both operational and project applications to public sector funders including but not limited to Canada Council, Ontario Arts Council, Toronto Arts Council, Canadian Heritage, Ontario Ministry of Heritage, Sport, Tourism and Culture Industries, Ontario Trillium Foundation.
  • Prepares final reports and financial information associated with government grants including any required reporting in CADAC.
  • Develops fundraising strategies and prepares proposals and applications as needed for individual donor campaigns, foundations, corporate sponsors, and other sources of private sector support.

 Financial Management

  • Present an annual operating budget each year to the board for approval.
  • Managing approved budget ensuring compliance as well as tracking of revenue and expense actuals.
  • Accounts payable/receivable.
  • Cashflow forecasting.
  • Approving expenses.
  • Working with NWIA’s bookkeeper each month to reconcile finances.
  • Working with bookkeeper and auditor to undertake NWIA’s annual financial audit.
  • Ensuring that Charitable Tax return is submitted each year.
  • Presenting quarterly financial reports to the board of directors.

Human Resources

  • Supervise contract staff and or interns providing guidance, support, and professional development opportunities as needed.
  • Write and execute contracts with support staff, contractors, artists and other vendors
  • Issue bi-weekly payroll

Promotion/Marketing/Communications

  • Along with the Artistic Director, write copy for NWIA press releases, marketing materials websites and publications.
  • Work with Artistic Director to hire and coordinate graphic designers and other marketing communications contractors as needed.
  • Approve marketing materials before publication.
  • Work with Artistic Director and any communications staff to schedule social media posts and updates to website as needed.
  • Along with the Artistic Director promote and publicize all projects, events and activities at NWIA

 THE CANDIDATE:
This position is for a First Nations (status and non-status), Métis or Inuit candidate who possesses lived experience and demonstratable connection within an Indigenous community or communities. Distant and/or recently discovered or rumoured Indigenous ancestry alone does not make an individual eligible for this position. NWIA respects the sovereignty and self-determination of all Indigenous Nations and these nations rights to determine who their citizens are.

This position is for a woman or otherwise gender marginalization individual. NWIA respects trans women as women. QUALIFICATIONS AND EXPERIENCE REQUIRED:

  • 3-5 years of experience working in the non-profit sector preferably in a managerial role and preferably for arts and culture organizations or institutions
  • Degree or diploma in business administration, non-profit management, arts administration, fundraising,  or other relevant specification (or an equivalent combination of education and work experience).
  • Strong grant writing skills with a proven track record of successful applications is an absolute must.
  • Comfortable in a collaborative working environment that is efficient, but also respects individuals’ needs, boundaries and work/life balance.
  • Excellent leadership and communication skills, with the ability to motivate and inspire stakeholders.
  • Strong financial management skills, including budgeting, tracking actuals, and cashflow management.
  • Comfortable reading, interpreting and presenting basic financial statements such as profit and loss statements.
  • Experience reconciling monthly financials, accounts payable and accounts receivable or the ability to learn how to quickly.
  • Experience going through the process of an audit or review engagement with an accountant or auditor for a non-profit and or charitable organization is a major asset
  • Proficiency in Microsoft Office Suite and Google’s suite of applications is a must.
  • Experience working with diverse communities and stakeholders in a sensitive manner that takes into consideration cultural protocols and Indigenous worldviews.
  • An understanding of and commitment to the vision and mandate of Native Women in the Arts.
  • Familiarity with the arts/cultural funding landscape in Ontario and Canada including both project and operating/core funding.
  • Comfortable using the CADAC system to record both financial and statistical data required by funders would be considered a huge asset
  • Understanding of and experience applying an anti-oppressive framework to arts and culture practices including an awareness of how systems of oppression such as colonialism, racism, sexism, homophobia, transphobia, classism and ableism can result in discriminatory actions and structural/systemic inequalities.
  • Some knowledge of contemporary Indigenous art practices across disciplines and the Toronto Indigenous arts community specifically is considered an asset.
  • Experience working with and reporting to a board of directors will be considered an asset
  • Private sector fundraising experience will be considered an asset.
  • Experience working with Word Press considered an asset
  • Experience working with Quickbooks Online considered an asset
