Description
Position Summary:
The Finance Manager is responsible for providing financial and logistical support for the OCAD Student Union. The Finance Manager oversees all financial processes and provides advice, training, and guidance to the OCAD SU Board of Directors and staff on financial matters.

Working Relationship:
OCAD Student Union Executive Directors, Board of Directors, and other staff and contractors of the OCAD Student Union.
Salary & Hours of Work:
$33.95 per hour for 30 hours per week with annual inflation and seniority increases. Thirteen (13) paid personal days per year, 4 weeks’ vacation, an annual professional development allotment of $1,500, and comprehensive health and dental benefits. Hours of work are flexible, scheduled between the hours of 9:00am – 5:30pm, Monday to Friday. Work is currently a hybrid model but may change according to OCAD student needs.
Responsibilities:
65% – Financial Management
- Manage day-to-day financial processes related to accounts payable, receivable, and payroll.
- Collect timesheets from employees and prepare employee hours reports for approval.
- Record all financial transactions in a manner acceptable to the Board of Directors and in accordance with accepted accounting practices.
- Reconcile accounts on a monthly basis.
- Develop and manage physical and digital filing systems for financial records.
- Ensure compliance with applicable regulations.
- Prepare and submit filings and remittances to the Canada Revenue Agency and other government bodies.
- Work with the Finance Committee to prepare the annual operating budget, monitor adherence to the budget, and recommend adjustments on a quarterly basis or as needed.
- Present useful and readable financial reports to the Board of Directors during Board meetings and the membership during Annual General Members’ meetings.
- Manage banking relationships.
- Liaise with OCAD U’s Finance Department to ensure accurate financial records and reconciliation of the OCAD Student Union internal accounts with the University.
- Coordinate the annual audit and liaise with the external accountant to prepare the financial statements.
25% – Operations & Administration:

- Administer the employee Health & Dental plan.
- Administer the organization’s insurance policies.
- Support the Director of Operations with the administration of the OCAD SU grant programs.
- Support the Director of Operations with the administration of the student health and dental plan and meet regularly with the Student Wellness Centre.
- Provide support to the student representatives on the OCAD University Ancillary Fee committee.
- Attend all OCAD University Board of Governors meetings and report on relevant updates.
- Serve on organizational, departmental, and campus committees as needed or required, pending approval of the OCAD SU.
- Maintain set weekly hours dedicated to administrative work.
- Work with other managers to: maintain inventory and stock of office supplies, materials, and equipment and ensure office equipment is in good working order; assist in general office maintenance to ensure a professional environment, which includes keeping the space tidy, accessible and open to the general student population.
- On-the-ground logistical work in support of OCAD SU services, events, and campaigns.
- Support the work of other managers when they are out of the office.
10% – Training & Support:
- Provide introductory and ongoing financial literacy and budget training for the Board of Directors and staff.
- Develop and maintain manuals for financial processes and train and support staff members in financial policies and procedures as needed.
- Assist the Board of Directors and staff in preparing budget proposals for programs and activities and support with project execution.
- Act as a resource by providing advice and support to OCAD SU Board of Directors, Committees, and Student Groups especially around financial matters.
- Report any issues or concerns related to employee adherence to financial policies and processes to the Manager, HR and Administration and follow-up where required.
Organization Description:
The OCAD Student Union is an independent, democratically-run student organization with approximately 5000 members, incorporated as a not-for-profit corporation. The OCAD Student Union operates a variety of programs and services on campus at OCAD University including: legal advice, student advocate, campus food bank, produce delivery program, community drop-in lunch, community development grants, social events and workshops.
The OCAD Student Union advocates for the best interests of OCAD University Students, representing the student body in dialogue with OCAD U administration and governance bodies, as well as all levels of government. The OCAD Student Union represents the OCAD University student population within the Canadian Federation of Students as Local 25. Within the Toronto art and design community, the OCAD Student Union is represented by its subsidiary, Xpace Cultural Centre. Xpace Cultural Centre is a membership driven cultural centre supported by the OCAD Student Union and dedicated to providing emerging and student artists, designers and curators with the opportunity to showcase their work in a professional setting.

Qualifications and Experience
Required Qualifications and Experience:
- A degree in Finance, Accounting, Business Management, or a related field or the equivalent in experience.
- Two or more years of work experience with not-for-profit financial management.
- Thorough knowledge and experience with full-cycle bookkeeping.
- Proficient with Google Workspace and Intuit Quickbooks Online, Payroll, and Time. Familiarity with Microsoft Office 365 will be considered an asset.
- Knowledge of laws and regulations pertaining to not-for-profit corporations.
- Excellent time management skills with the ability to multi-task, the ability to manage one’s own time and the time of others.
- The ability to monitor and assess one’s own performance as well as the performance of other individuals and organizations in order to make improvements or take corrective action as required.
- Critical thinking skills and the ability to make decisions in a fast paced environment, the ability to anticipate costs and benefits of potential actions, and the ability to choose the most appropriate direction.
- Excellent oral and written communication skills and comprehension skills, and the ability to discern which information is most vital to communicate at an appropriate time.
- A strong understanding of intersectionality and anti-oppressive practices.
- Experience working in not-for-profit organizations, student organizations and/or arts organizations will be considered an asset.
