Description

We are seeking a thoughtful, detail-oriented, and adaptable production administrator to join our production team. You will support the production director and project managers in the day-to-day management of book projects from initial concept to delivery. You will play a key role in managing files and book assets, metadata and databases, invoicing and scheduling.

You will coordinate, as needed, with other departments to successfully support project work.

This position requires in-person work at our Vancouver office, and Page Two offers hybrid working options which are determined with the production director, and may change from time to time.

The successful candidate will have outstanding written and verbal communication skills, excellent organizational and time-management skills, and be cool under pressure. You will work collaboratively and diplomatically with a highly engaged team. You will be thoughtful in evaluating priorities and will have the creative mind to mitigate risks or think of new solutions.

Your responsibilities will include:

  • Coordinating author-client onboarding and offboarding, according to workflows.
  • Preparing, for approval by the Project Manager, production schedules for all products (e.g. print, ebook, and audiobook).
  • Communicating production deadlines and status to all stakeholders.
  • Coordinating resourcing of production work according to project needs and budget (e.g. scheduling editorial contractors and designers).
  • Ensuring timely, efficient, and quality-assured delivery of assets and products that meet or exceed industry standards and author-client expectations.
  • Ensuring in-house teams, contractors, and suppliers comply with production workflows, policies, and best practices outlined by the Production Director and other production-related departments.
  • Assisting with coordinating author-client approvals and other decision-making on a project.
  • Managing print and reprint production and delivery (e.g. attend regular inventory meetings, acquire print quotes, book printer times, coordinate print quote approvals, file submissions, file corrections, blueline reviews, and oversee product shipments/delivery).
  • Manage production and delivery of ebook and audiobook products (e.g. acquire audiobook production quotes, book production times, coordinate audiobook quote approvals, file submissions, and file corrections).
  • Maintain up-to-date records in Page Two’s databases and, where needed, third-party databases (e.g. Biblio, Smartsheet, Google Drive).
  • Administer project invoices to author-clients according to timelines.
  • Occasionally manage production of custom editions.

This position reports to the Production Director.
