Job Description
Reporting to the Director of Member Services and the Apprenticeship, Equity & Outreach Manager, the Apprenticeship & Outreach Coordinator is responsible for coordinating all aspects of the Guild Apprenticeship Program (GAP), including reviewing applications, setting up interviews, communicating with accepted applicants about training, and co-hosting GAP training. This position also assists with outreach events.
Duties include, but are not limited to:
- Serves as the initial point of contact for the DGC Ontario Apprenticeship program, answering general and specific inquiries regarding eligibility requirements for the Guild Apprenticeship Program intake
- Processes Guild Apprenticeship Program applications during intake periods; liaises with the Director of Member Services, Apprenticeship, Equity & Outreach Manager, Caucus Representatives, and Membership Chair throughout pre-interview application vetting process; compiles and creates files of application packages for interview stage
- Coordinates the GAP interviews; communicates with accepted applicants about training
- Receives and confirms payment from successful Guild Apprenticeship Program applicants
- Updates and maintains the accuracy of Member files for Apprentices, including setting up new profiles in the database, and notifies Apprentices when it is time to graduate
- Assists with setting up meetings, emails course materials to GAP participants, contributes to/participates in Member Services events, and GAP Orientation training when appropriate
- Assists with coordinating and scheduling speaking engagements, and if necessary, coordinates and schedules travel required for those engagements
- Assists with ensuring all presentation materials are kept up-to-date
- May, on occasion and as assigned by the Director of Member Services and/or Apprenticeship, Equity & Outreach Manager, represent DGC Ontario at panels, job fairs, high school and university/college speaking opportunities talking about the Guild Apprenticeship Program and benefits of being a Guild Member and the realities of working in the film and television industry in Ontario
- Assists with the preparation of statistics for GAP and outreach initiatives
- Handles additional administrative tasks and projects as assigned by management
Requirements:
- High School Diploma or equivalent office experience
- Strong attention to detail, well organized, solid record keeping skills and excellent communication skills
- Exhibits a positive and helpful service-oriented attitude
- Strong and confident public speaker
- Knowledge of the film and television industry in Ontario is a requirement
- Able to handle high volume work with tight deadlines
- Previous experience working in, or being part of, a Membership based organization is a key asset
- Able to establish and maintain positive and collaborative working relationships
- Proficient with Windows and Microsoft Office software suite including Outlook, Word, Excel, Power Point and FileMaker Pro or equivalent
- Able to work productively in a team environment as well as independently
- This position may require travel throughout the Province
- Must have a current and valid G license

- This is a high performance work environment
- Some evening and weekend work is required (subject to overtime)
- This position will be trained in the office full-time for the first 3 - 4 months, then may move to a hybrid work schedule
- Start date of this position is either July 5 or July 12
