Job Description

Operations & Office Administrator – Canada Summer Jobs
Contract (30 hours per week – 9 weeks)
Contract Start Date: June 19, 2023
Contract End Date: August 19, 2023 (with possible option to extend)
Salary Rate: $19.00/hour

Summary of Job Functions
We are seeking a self-initiated arts and community individual to join our small but mighty team supporting operations and office administration. This individual must be detail-oriented and reliable to perform a range of administrative, financial, and site-specific tasks which support the operations, venue, and personnel of the organization. This proactive individual works closely with the Executive & Artistic Director and the Associate Director to ensure that operations efficiently support staff, site, and organizational work.
Duties Include
- General engagement and interaction with local Scarborough residents, youth, community service providers, arts service providers, and networks at the NGA Youth Hub, programs and events, and in public
- Support front-of-house interactions and staff (I.e. appointments, walk-ins, mail and deliveries, phone calls, general email)
- General maintenance and logistics management of NGA Youth Hub (I.e. tidying of indoor spaces, preparation of facilities for programs and events, ordering materials)
- Supervise additional maintenance of space and equipment; and arrange for repairs, contracts and other services as needed
- Create and update tracking sheets (I.e. schedules, resources, training, on-site staff responsibilities)
- Track general inventory of organization and NGA Youth Hub
- Collections and overarching tracking of NGA Youth Hub visitors, program participants, and event participants
- Ensure operational updates are recorded with CRA, federal, provincial and local regulations and filings
- Maintain employee records according to policy and legal requirements
- Sorting, inputting, scanning and filing documents, invoices, receipts, A/P, A/R, agreements and files, physically and electronically, for the Executive Director and Accountant
- Occasionally support general grants, sponsorship, and donation requests
- Assist in the development and maintenance of workplace policies and procedures
- Occasional research and networking to prepare for ongoing and ad hoc initiatives
- Some communications support during launch and call-out periods for programs and events
- Supporting tech, remote Zoom and online classes, and in-person programs and activities if/when needed
- On-site and remote documentation of projects and events
- Some additional administrative support may be required
Qualifications
- 1+ years experience working in the community, arts and culture, and/or non-profit sector
- 1+ years experience with operations, HR, facilities or similar portfolio
- Strong people relations to support members in-person, phone or email interactions
- Ability to work in a fast-paced environment; be able to self-manage, think of creative solutions, and quickly adapt to the evolving needs and deadlines of the community and projects
- Strong project management, time management and organizational skills with the ability to prioritize and manage workload while multi-tasking to meet deadlines
- Knowledge of Scarborough communities and youth needs
- Excellent oral and written communication skills
- Excellent computer and digital user and navigation skills (I.e. Apple/Mac, Microsoft Suite, Google Workspace, Zoom, Facebook, Instagram)
- Familiarity with graphic design and content creation (I.e. Adobe Suite, Canva, etc.)
- Ability to work independently with minimal supervision and take own initiative
- Ability to work in a team environment and facilitate collaborative work
- Flexibility to work evenings and weekends when necessary

Summary of Job Functions
We are seeking a self-initiated arts and community individual to join our small but mighty team supporting development and marketing for our summer projects and initiatives. This individual must be detail-oriented and reliable to perform tasks related to donors, sponsors, community and the general public sphere. This proactive individual works closely with and reports to the Associate Director and Development Officer to ensure that assignments and timelines support upcoming projects.
Duties Include
- General engagement and outreach with local Scarborough residents, youth, community service providers, arts service providers, and networks at the NGA Youth Hub, programs and events, and in public
- Focused outreach and registration of summer and upcoming projects, programs and events
- Research and prospecting to identify potential donors, sponsors and funding opportunities by conducting research on individuals, corporations, foundations and government agencies
- Support the development team in writing funding requests and sponsorship applications
- Maintain and update donor database, including entering new donor information, tracking donations and generating reports for analysis and communication purposes
- Support the development team in cultivating relationships with potential donors, partners and community stakeholders through networking, attending meetings and participating in relevant events
- Assist in managing relationships with existing donors, including sending acknowledgements thank you letters and updates on projects and initiatives
- Support the Programs & Communications Associate with maintaining social media, outreach and conversations (Facebook, Instagram, Linktree, etc.)
- Support with website maintenance and updates where appropriate
- Photographic and video documentation of projects and events

This individual must be detail-oriented and reliable to perform various responsibilities to support program coordination and administration. This proactive individual works closely with and reports to the HEAL Projects Administrator and the Executive & Artistic Director to ensure that assignments and timelines support upcoming projects.
Duties Include
- General engagement and outreach with local Scarborough residents, youth, community service providers, arts service providers, and networks at the NGA Youth Hub, programs and events, and in public
- Focused outreach and registration of summer and upcoming projects, programs and events
- Assist in planning and organizing artistic programs, workshops, exhibitions, performances and events
- Provide program administrative support such as scheduling, taking minutes, printing and photocopying, preparing agendas, and responding to inquiries.
- Work with the Programs & Communications Associate and project leads to support program communications and outreach to publicize programs and events
- Support artists, collaborators and guest speakers leading up to and during workshops and events
- Support the collection of data, feedback, surveys and photographs related to programs and events for project leads and reporting
- Help coordinate and manage programming, event or exhibition spaces including scheduling set up, maintenance, technical requirements, and strike
- Collaborate with the development team to gather information and prepare requests related to programs
- Work closely with the NGA team to ensure collaboration and coordination across different program deliveries

Additional Info:
This position is funded through the Canada Summer Jobs program. Candidates must:
- Be a youth between the ages of 15 to 30 years old
- be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
International students are not eligible to apply for this position as per the Canada Summer Jobs requirements.
This position is an in-person position.The successful candidate will be required to work on-site at our 1121 Bellamy Road North office, with occasional visits to program sites to support events. This position is for a duration of 9 weeks, granted by the Government of Canada - Canada Summer jobs program. There is a possibility that this position may be extended at the conclusion of 9 weeks, funding dependent.
