The Corporation of Massey Hall and Roy Thomson Hall

The Corporation of Massey Hall and Roy Thomson Hall is a registered charitable, not-for-profit organization operating two of Canada’s premier concert halls.  The Corporation was established in 1983 to manage both Massey Hall and Roy Thomson Hall.  Founded on the legacy of Massey Hall’s central role in the vitality of Toronto’s cultural life, the Corporation’s mission is to present a diverse schedule of Canadian and international performing artists of the highest quality from classical and jazz to lectures, world music and dance, and rock.  Over 400 artistic productions are produced, marketed, and staged at the Halls every year.   Roy Thomson Hall is home to the Toronto Symphony Orchestra and the gala screenings of the Toronto International Film Festival as well as being the venue of choice for numerous corporate and private functions.

Summary:
The Bookings & Sales Associate will assist the Bookings & Sales team in booking multiple venues, handling the related administration, and providing assistance with on-site event duties as required.  The ability to work a flexible schedule, including day, evening, weekend hours and holidays, as required.
Job Duties:
Respond to rental inquiries and promote the Halls to potential clients
Provide accurate and timely date availabilities to clients and co-promotion partners
Conduct site tours with potential clients and initiate ‘soft sell’ techniques
Prepare cost estimates and contracts for rental clients
Handle internal MH-RTH and TSO bookings
Assist with preparation and distribution of internal Booking Memos
Update the on-line, real-time, booking calendar daily, as required
Ensure that all bookings, in all venues, (including house shows, co-pros, rentals, Toronto Symphony) are consistently and accurately recorded and updated as additions and changes occur within the season
Occasionally negotiate rental fees (outside published fee schedule) within established guidelines
Identify and recommend ways to improve the efficiency of the bookings function
Assist with chairing the weekly calendar of events meeting, attended by representatives from all departments
Ability to use sales skills to provide “creative alternatives ” to clients in the face of date availability conflicts
Identify potential problems and escalate to management, developing and recommending solutions wherever possible
Other duties as assigned

Requirements:

Minimum of 3-5 years’ in customer service/sales experience
Post-secondary education
Demonstrated ability to deliver superior customer service
Proven ability to manage time, set priorities and multi task to meet various competing work deadlines
Team oriented  with the ability to work independently
Experience in the arts and entertainment industry would be an asset
Ability to demonstrate proficiency with Microsoft, and knowledge of MS Dynamic products (CRM)
Superior communication skills, including verbal, written and presentation
Excellent organizational time management skills and the ability to deliver high quality results while working under multiple deadlines
Provide the highest customer service care to meet and exceed customer satisfaction
Able to work with others tactfully, diplomatically and professionally at all times
Self-motivated candidate with excellent communication and interpersonal skills
Good analytical and problem solving abilities
Ability to adapt to change
