Job Description

The Sponsorship Coordinator's main responsibility will be to coordinate and fulfill sponsorship agreements in over 12 cities across North America, each with their own contracts, invoices, payments, graphics, and individual requirements. To succeed in this position, you will have to work closely with the Director of Sponsorships & Government Relations, be able to learn quickly, take initiative in each task, take pride in your problem solving skills, and a great sense of humour. The successful candidate must pay close attention to detail, have superb communication skills, must be able to work as a team and independently.


Sponsorship Activation

·      Acts as a liaison between sponsor and various marketing and operations departments to ensure sponsor agreements and recognition are correctly communicated and implemented

·      Ensure all sponsorship commitments are correctly fulfilled, including print recognition, digital recognition, hospitality, special engagement, and other custom details.

·      Develop and execute sponsorship activation workback plans

·      Prepare sponsor payment reminder, as required, and liaise with Accounting Heads and Director of Sponsorship to ensure timely payment and receipt.

·      Create sponsor update packages and other written communications to the sponsors.

·      Draft sponsorship fulfillment reports to be used in reporting back to corporate sponsors. Duties include gathering content for the reports such as statistics (event attendance, marketing examples, demographic, industry), quotes, photos, etc.


·      Maintain Database of prospects and sponsors

·      Support the Director of Sponsorships & Government Relations including diary management, managing and responding to a diverse range of e-mails, telephone calls and assorted sponsorship and promotional enquiries

Sponsorship Sales

·      Develop and maintain an in-depth working knowledge of Starvox and Lighthouse Immersive’s signature properties that are aiming to attract sponsorship dollars.

·      Conduct preliminary outreach on behalf of Starvox and Lighthouse Immersive to determine the most viable sponsorship contact(s) at select prospective organizations

·      Recommend key prospects for specific sponsorship properties.

·      Assists in the writing and preparation of sponsorship proposals


· Demonstrated ability and experience in coordinating major sponsorships

· Project and time management skills and experience

· Excellent communication skills and attention to detail

· Ability to take initiative and work independently as well as in a team

· Strong software skills including Microsoft Word, Excel and CRM databases

· Interpersonal skills, ability to collaborate and interact with many people
